Platform

One system, connected end to end.

Each part points at the others, so a report can lead to a hazard, an action and the evidence that it was dealt with.

An example workflow

  1. ReportSomeone files a safety report
  2. InvestigationIf one is needed
  3. Hazard or findingWhat the investigation shows
  4. ActionOwner and due date
  5. Review and evidenceClosed by a different person

An example workflow. Not every report goes through every stage.

Reporting and investigations

Reports to findings

Safety, deviation, service, hazard and change reports. A designated person decides whether one is mandatory; the regulation’s own timescales are tracked. Investigations have a lead, team, timeline, evidence, statements and findings. The reporter’s name is kept apart from the report.

Hazards and risk

Your matrix, your scores

A hazard log, assessment before and after planned controls, a risk register for committee review, and acceptance by a different authorised person, set by level.

Audits, findings, actions

Followed through

An audit programme by area, checklists tied to rule numbers or manual paragraphs, findings with root cause and corrective actions, closed by a different person.

Documents and change

Controlled and current

Every document and version with review dates, a library across the company, and a change register following the authority’s six steps, signed off by a different person.

People and training

Roles and competence

The regulatory posts and who holds them, the training programme, competence assessments by someone else, and safety messages and alerts that must be acknowledged.

Performance and evidence

Show your working

Safety indicators with targets and alert levels, management review inputs and decisions, and an evidence index laid out against the 27 elements of the EASA Management System Assessment Tool, with a spreadsheet export.

And the rest of running a safety system

Meetings

Safety committee terms, attendance and actions. The assistant drafts minutes from a transcript, citing it; a person confirms.

Emergency planning

The emergency plan, exercises and distribution.

Interfaces

Contracted organisations and the assurance held on each.

Aircraft and flights

The fleet, aircraft documents and a flight schedule; each flight gathers company, aircraft, crew and trip status and can be authorised by a person.

Records and culture

A records schedule, safety culture evidence and a just culture record.

Regulation watch

New editions of the regulation text are compared rule by rule, and the documents resting on changed rules are listed for a person to action or ignore.

The assistant

Helpful AI that drafts, and never decides.

Safety work is mostly writing things down well. The assistant writes the first draft, quotes your own documents, and leaves the decision to you.

Suggests the hazards

From your kind of flying, aircraft, aerodromes, report history and a few pages of your manuals, it suggests hazards your log does not yet hold. You add, edit or dismiss each one.

Drafts the assessment

For a hazard it drafts a score from your own matrix with a reason for each part, how to handle it, and one thing to plan.

Suggests checklists

It proposes the checklists your operation is likely to need and drafts items from the pages of your own manuals.

Reads your description

Describe what you do in your own words and it picks out the facts, which you confirm.

Finds the passage

Ask your documents a question and get the passage back word for word, with the document, version and page.

Drafts minutes

Give it a transcript and it drafts attendance, decisions and actions, citing the transcript.

How it is kept honest

It suggests; you decide

A draft changes nothing until a person adopts it, and the person who adopts a score becomes its assessor. The person who scored a risk can never be the one who accepts it.

Quotes are checked

When a suggestion rests on your manual it shows the page and the words. A quotation is kept only if it is on that page, word for word. One that is not there is thrown away, so a quote is never invented.

It is your choice

The assistant is off until an Administrator at your company switches it on. The rest of the system works without it.

It says what it does not do

A suggestion is a starting point, not a hazard analysis. The assistant can be wrong. When there is nothing to show it says so, and it never fills a gap.

What it is not sent

For risk work it is never sent the text of safety reports, names or passenger details. Other uses send only the pages they need.

A record of its use

Each use is recorded in the audit trail as a count, not the words asked.

Where the words go. When your company has switched the assistant on, the text it works on is processed by an AI service provider. Ask us who, where, and how long anything is kept, and we will answer in writing before you decide.
